A SharePoint folder can now serve as a central source for the AI-School knowledge base. Documents in that folder and its subfolders are processed. Administrators use the scope, audience and publication status to determine who can access the information.
For administrators: go to Management → Knowledge base → Add → SharePoint folders → Link folder. Enter a title and the folder URL, choose the scope and audience, and set the publication status to Published. Before doing so, the organization’s Microsoft app must have Sites.Selected and admin consent. It also needs separate read access to the relevant SharePoint site.
AI-School automatically checks the folder every 15 minutes and then processes the documents. New files are added, changes are updated, and deleted files are removed from the active knowledge base. An administrator can start a check immediately by selecting Sync now. Refresh only displays the current processing status.
For users: published documents are available according to the existing knowledge base permissions. You don’t need to enable a personal SharePoint connector. If an administrator wants to remove the source, they can do so via SharePoint folders → Disconnect. New imports will stop, and the linked documents will be hidden from the knowledge base immediately. The original files remain in SharePoint; stored private copies remain in the AI environment.
When linking a folder, check that the scope and audience are appropriate for the documents it contains, including any files added later.
