Creating Documents
With Text to Document you can create a document directly from the chat. This can be done in two ways:
- Free document — AI-School designs a document in HTML and CSS.
- Document template — you use a predefined Word template with fillable fields.
The button is located under the chat input in the tool selection. When the tool is enabled, the chat switches to a document mode with the chat on the left and the document or form on the right.
Free Document
A free document is useful if you do not yet have a fixed house style template or if you want the AI to create a professional layout itself.
For example, you can ask:
Create a test for havo 3 physics about the lever law. The test lasts 45 minutes and contains knowledge questions and calculation problems.
AI-School then creates an initial version of the document. Each follow-up question creates a new version based on the latest version.
Using Versions
Free documents are saved per chat in versions. To the right of the document, you can go back to earlier versions. This is useful when a later adjustment turns out less well.
Examples of follow-up prompts:
Make the introduction shorter and add more white space between the exercises.
Turn this into a landscape presentation with 6 slides.
Settings
For free documents, you can adjust settings such as:
- Purpose — document or presentation.
- Orientation — portrait or landscape.
- Logo — left, center, right, or no logo.
- Logo size — small, normal, or large.
- Style — for example business, modern, education, report, or presentation.
If you do not choose settings, the AI tries to select appropriate settings based on your prompt. For example, if you ask for a presentation, a landscape layout is logical.
House Style and Logo
Free documents use the branding of the school or environment. If no custom branding is set, AI-School uses the default house style.
Choose No logo if you do not want to include a logo in the document.
Annotations
With annotations, you can indicate in the document which part you mean.
- Turn on annotating in the toolbar.
- Click on the part that needs to change.
- Type in the comment field what should happen, for example ‘Make this block calmer’, and choose Add or press Enter.
- Send. An extra prompt is not needed; the annotations then serve as the instruction. If you also want to change something in the entire document, type that in the input field.
Adding Files
You can add files to the document prompt. This can be, for example:
- a recording of a meeting
- a PDF with source information
- an existing Word document
- images that should be used in the document
A recording can be used directly to create meeting minutes or a report.
Exporting
Free documents can be exported as PDF. The PDF uses the chosen document orientation and page layout.
Using Document Templates
If templates are set by an administrator, AI-School first asks at Text to Document whether you want to use a free document or a template.
With a template, there is no document preview on the right, but a form. The AI fills this form based on your chat message and any added files. You can check and adjust all fields before generating the document.
Examples:
Create meeting minutes from the attached recording. The meeting is called Steering Group Educational Innovation and took place today.
Fill in the letter for parent communication about the new test week. Make the tone friendly and clear.
Checking the Form
The AI fills template fields as soon as information is available. The form does not need to be fully completed at once.
Check especially:
- names
- dates
- amounts
- action points
- tables with multiple rows
- chosen images
Then click generate. The result is an editable Word document.
Images in Templates
If a template has an image field, you select the image via the media manager in the form. The placeholder in the Word template determines as much as possible the position and size in the final document.
Reserved Fields
Some template fields are automatically filled with data from the school, environment, or user. Think of school name, address, account name, email address, and function. These personal data are not sent to the language model; AI-School fills them in locally.
An administrator can find the full list of reserved tags under Admin → Basic Data → Branding.

Downloadable Files in the Regular Chat
In a regular chat, ask for a Word document, PDF, or PowerPoint. The document is composed from the available conversation and your latest corrections. If you want to keep existing text, ask explicitly. The set context and privacy boundaries remain in effect.
The document card below the answer first shows progress and then Open. This opens the existing preview; there you can download the file. You can download the same file again without recreating it. If a download error occurs, you can try again. The existing export button remains available to manually export a chosen answer or conversation; there you also choose whether to include the header.
Word, PDF, and PowerPoint (.pptx) are previewed in the app, also for private files. Use Previous and Next to browse PDF pages or PowerPoint slides; with focus on the preview, Page Up, Page Down, Home, and End also work. Downloading saves the original file. If loading fails, choose Retry.
PDF / PowerPoint: Zoom In / Zoom Out (50–300%).
In the mobile app, you open the same document card. Use the zoom buttons for small text. On iOS and Android, Download opens the share/storage panel of your device; choose the desired app or storage location there. Back returns you to the original conversation.
Downloading Code Files
Does an answer contain code blocks? Open Export at that answer and choose Download source-1.html (or another file). Each code block is downloaded separately, without the surrounding explanation. HTML, CSS, JavaScript, TypeScript, JSON, CSV, Python, XML, SVG, and SQL get their own extension; other code blocks get .txt. Ask the AI to mention the language above each code block. Check the code before running it outside the app. Adjust file names and references to other files if necessary. The download is saved directly on your device and not added to File Manager.
You can also choose Download directly next to Copy at a code block.
