School Information in the Knowledge Base

Share school policies and other documents so staff and teachers can find them and use them with AI.

With Knowledge Base documents, you can share important school information in AI-School. This could include policies on using AI for school assignments, assessment guidelines, or information for staff. Staff and teachers can find this information and use it in conversations with AI.
Open the Knowledge Base and select Own knowledge base. For example, search for policies on using AI for school assignments. The search function looks through a document’s title, description, type, and tags. Click Open to read a document.
Published and fully processed documents are automatically available as a source within the appropriate school scope. This means you do not need to add them separately to a chat. For example, ask: ‘What are our policies on using AI for school assignments? Name the document you used.’ Always verify the AI’s answer.
Text assistants can also consult the Knowledge Base in a regular web conversation. To enable this, include instructions such as: ‘For school policies, consult the Knowledge Base first. Name your source. If you cannot find an answer, say so.’ Do not upload the same documents to the assistant again, and test the instructions in a new conversation.
School administrators manage documents from the Knowledge Base in the administration environment. Click the plus sign and select Add document. Enter a file name, title, and type, and optionally add a description, tags, and content. If you already have a file, select Add source file.
First save a new document as Draft and check its scope. School administrators select their assigned schools. Organization administrators can also select Entire organization. Please note: there is no separate option for staff only. Students within the selected scope may therefore also gain access.
Has everything been checked? Select Published and save the document. Once processing is complete, it will be available in the Knowledge Base. We recommend checking this using a staff account and keeping documents up to date.
