Enabling Microsoft integrations

Has your organization approved Microsoft integrations? Then you can personally enable Outlook Mail, Outlook Calendar, Microsoft Teams, and SharePoint. You do not need to enter a Microsoft app, client secret, or technical permissions. The administrator handles that.

What do you need?​

  • You are signed in to the correct AI-School environment of your organization.
  • Your administrator has made the desired integration available and you are allowed to use connections.
  • You have a Microsoft work account with access to the desired mailbox, calendar, Teams channels, or documents.
  • You choose an available AI model that can use tools. These integrations are not limited to OpenAI.

Signing in to AI-School with Microsoft does not automatically enable the work account integrations. Even after a successful Microsoft login, you choose which connections the AI may use.

Step-by-step enabling​

  1. Open your profile → Preferences.
  2. Go to Tools → Connections. You only see integrations that are available for your account and environment.
  3. For example, enable Outlook Mail or Outlook Calendar.
  4. When prompted, complete signing in to Microsoft with your organization's work account. Check that the consent screen shows the expected organization app. Use MFA if your organization requires it.
  5. Return to the app and check that the connection is enabled. Also enable any other desired Microsoft integrations.
  6. Open a chat and ask a concrete question, for example: “What is on my Outlook calendar tomorrow?”

If the administrator has previously granted organization consent, you do not need to give consent on behalf of the organization yourself. A Microsoft sign-in or consent screen may still appear. If you cannot proceed without administrator approval, contact your administrator.

Your choice is saved in your account and also applies to new chats and other devices. You do not need to start a separate connection chat for each question. The chat settings show which connections are available in that conversation.

Reading and writing​

The administrator determines which write actions are allowed per integration. You use the same personal on/off switch for this; you do not need to set writing separately.

Examples of clear commands:

  • Draft: “Create an Outlook draft to colleague@example.org about our meeting. Save it only as a draft.”
  • Send: “Send this draft to colleague@example.org.” Check recipient, subject, and content first.
  • Calendar: “Create an appointment tomorrow from 14:00 to 14:30 in my calendar titled Project meeting, without participants.” Specify date, time zone, and participants when needed.
  • Teams: “Post this text in team Project team, channel General: The meeting starts tomorrow at 10:00.” Explicitly name team, channel, and text.

A draft is not yet sent. An appointment with participants can send invitations or updates. A Teams post is visible in the chosen channel. Writing is available when your environment has been enabled for it; you cannot enable a missing admin right yourself.

Disabling or reconnecting​

Go back to Preferences → Tools → Connections and turn off the relevant integration. This means the AI no longer uses that connection from your personal selection. Previously saved emails, appointments, and channel messages remain; the Microsoft app and organization consent are not removed by this.

Has the administrator changed the app, permissions, or secret, or has your Microsoft session expired? Reconnect the connection if necessary via the same preference toggle. If you get a message about missing permissions or administrator approval, your administrator must check the setup.

If it does not work​

  • Connection not visible: check the AI environment and ask your administrator if the integration is available for you.
  • Wrong Microsoft account or unexpected app name: do not complete the connection and have the administrator check the organization app.
  • Reading works, writing does not: ask if the specific write action is approved and technically enabled.
  • File or channel not accessible: the AI has the same Microsoft access as your signed-in account.
