Viewing weekly AI reports

Guided classroom use in the report

Reports now show guided classroom conversations separately. These are conversations a teacher starts from a lesson on the group page for joint instruction. They count toward the group and school, but the teacher using the interactive display is not counted as an active student.

Use the balance between guided and individual conversations as a starting point for professional reflection. Many guided conversations may suit modelling and joint practice; many individual conversations may suit independent work. Neither is automatically better. Ask whether students first learned how to frame a question, check an answer and protect personal data, and whether the current group or student restrictions still fit the learning goal.

The report supports a discussion about AI literacy and safe teaching. It is not a performance score, diagnosis or proof of misuse.

Every Monday at around 05:00, AI-School automatically creates reports for the fully completed week from Monday through Sunday. You do not need to start anything. The reports help teachers and authorized staff identify patterns in AI use and decide where attention may be needed.

Weekly reports complement Theme Alerts. Use the report for overviews and trends. Use Theme Alerts to assess and follow up on current alerts.

What does a report contain?

A report shows the following for the selected school, group, or student:

• the number of separate conversations;
• the number of active students in a school or group report;
• the number of theme alerts;
• the change in conversations and alerts compared with the previous week;
• frequently discussed topics, based on conversation titles;
• the alert themes that occurred during that week.

A negative change means the count was lower than in the previous week. A week without activity also receives a report with zero values, keeping the weekly history complete.

A report helps you recognize signals. It is not a student assessment, a diagnosis, or proof of inappropriate behavior. Always check the context before drawing conclusions.

For teachers

Using the Groups dashboard

1. Select Groups in the main menu.
2. The dashboard shows My groups, Recent alerts, and Weekly reports.
3. Under Weekly reports, expand a group to view its latest figures and themes.
4. Select All weekly reports to view older reports.
5. Select a group tab and then expand the required week.

A teacher only sees reports for groups to which they are assigned. If a group is missing, check in your preferences whether it is selected under Select groups.

Opening reports from a group or student

Open a group through My groups. The group page contains a card with recent weekly reports. Select All weekly reports to open the group's complete history.

The student table contains a report button for each student. This opens that student's weekly reports directly. Only use this level of detail when it is necessary for your teaching or student-support role.

For authorized staff and administrators

1. Open the Administration area.
2. Go to Safety and privacy.
3. Select Weekly reports.
4. Search for or select a school first. Each school shows its number of groups.
5. View the school report or select a group. Each group shows its number of students.
6. View the group report or select a student. Each student shows the number of conversations in the latest available week.

The breadcrumbs at the top show your current location. Use them to return from student to group, from group to school, or to All schools. This hierarchical approach remains manageable for organizations with many schools and groups.

You only see schools, groups, and students for which your account is authorized. The search bar in the toolbar filters the level currently displayed.

How are the figures calculated?

• Conversations counts separate student conversations in which messages were posted during the selected week.
• Active students counts unique students with activity during that week. It is only shown in school and group reports.
• Alerts counts theme alerts linked to a conversation counted for the same student and week.
• Frequently discussed topics uses conversation titles and does not display full conversation text.
• Compared with the previous week compares the same school, group, or student with the preceding full week.

Because an alert is only counted when its linked conversation occurs in the same week, a student report cannot show alerts alongside zero conversations.

Privacy and responsible use

Reports do not copy full prompts, answers, or conversation transcripts. They only process the information needed for counts, topics, and signals. The same access rights that apply to Theme Alerts also apply to reports.

The retention period follows the configured retention period of the underlying data. Only share figures or student details with staff who need them for their role. Treat unusual values as a reason to investigate further, not as a settled conclusion.

No report is available yet

A report appears after the next full week has ended and Monday's automatic processing has completed. If no report appears after that:

1. check that you selected the correct school or group;
2. check that the group contains students and that you have access to it;
3. reload the page;
4. contact the administrator of your AI-School environment if the problem continues.
